We believe in you! We chose you because we believe you are the best fit for our team, and we're excited to see what you can do! We look forward to all we will accomplish together.
Nobody is perfect and we are not expecting perfection. We understand that starting a new job can be overwhelming and, at times, confusing. Give it your best and don't be afraid to ask questions along the way! We are all here to help you. No matter what smaller "team" we're on, we are all on YOUR team. Your success matters to every person on staff and we are eager to step in to support your growth.
Here's a simplified list of how to get started in your new role! Come back to it whenever you need a refresher.
Marc, CEO: Ask Marc anything at all! Marc is our fearless CEO, but he is very approachable, kind, and willing to answer any question you may have. If he doesn't have the answer, he'll help you find it. Marc is eager to make sure every voice feels heard and every team member feels supported. There's no such thing as a silly question with him. You can also come to Marc to discuss concerns or hard topics. Marc is usually in the office about 3 days a week, when he is not taking offsite meetings. He is introverted and cheerful.
Dawn, Vice President of Operations: Ask Dawn for anything relating to admin, accounting, your paycheck, your benefits, your team's budget, your hours, expense reports, the printer, or time off requests. You can also ask Dawn about relationships and partnerships within the community because she is very well-known by many people. She is happy to jump on the phone and call someone to hunt down an answer. Dawn used to work at the Rancho Cordova Chamber of Commerce and is very well-networked. She is easy-going, factual, and loves paper products.
Maggie, Director of Sales: Ask Maggie questions related to sales or the sales team, hotels, hoteliers, conferences and tradeshows, meeting and event planners, FAM Trips, sponsorships, how to use IDSS, or Visit Rancho Cordova events like the Annual Summit. Maggie is focused on building relationships between hotels and meeting planners to bring more business to Rancho Cordova, and she is always willing to answer a question about that or help you understand how sales connects to marketing. Maggie is outgoing, passionate, and informative, and loves helping our community grow to become the best version of itself.
Aubrey, Creative Marketing Strategist: Ask Aubrey questions related to Visit Rancho Cordova's branding/logos/fonts/colors, marketing projects (especially ones related to graphic design), social media marketing and accounts, images, finding or sending files, the event calendar, tracking inventory, Rancho Cordova merch, designing/ordering swag, or how to use Sharepoint. She is also good at new staff questions and can usually answer your questions about the basics if you get stuck. Aubrey is very friendly, playful, and easy-going. You can call her Aubrey or Aubz (her nickname).
Kristen, Brand Communications Strategist: Ask Kristen questions related to Visit Rancho Cordova's brand voice, marketing projects (especially ones relating to written pieces), the current marketing plan, Wrike task software, website content, Facebook ads, LinkedIn account, PR strategy, email newsletters, major annual events, blogs, and marketing vendor relationships (Madden, Multiview, SF Travel, BrandUSA, etc.). If there are words involved and you need a second pair of eyes, Kristen is willing to proofread for you! She is outgoing, caring, and loves to help others understand complicated ideas.
Hash, Marketing Coordinator: Hash is new to the team! He started working with us a few weeks ago. He is still in training but for now you can ask him where to find things around the office and he should be able to help you!
Canva: The place where our team makes 95% of our design projects.
Craft: Our website design platform/CMS (or, content management system). Craft is the back-end technical side of our website, the place where we upload new content like blogs, images, and pages.
Google G4: A place to find our website analytics. You must be logged into a linked gmail account to access this.
iDSS: Our CRM (or, customer relationship management) software. We create and track accounts of partners, upload contracts, and keep addresses/phone numbers here. Our Sales Team uses IDSS to keep track of inquiries, proposals, and tasks. Our Marketing Team uses IDSS to track inventory and send email newsletters. The whole team uses IDSS to keep notes and files for specific partners.
Looker Studio: A way to track the performance of our site's SEO and see which pages rank best.
Meta Business Suite: A place where Meta (Facebook and Instagram) posts can be scheduled in advance, comments engaged with, or messages sent. This is also where Meta ads are uploaded, set up, and deployed.
OneDrive: Your PERSONAL files saved on your personal laptop, as opposed to Sharepoint (shared files).
Outlook: This is your Microsoft email and calendar software.
Ripe: This is Visit Rancho Cordova's hotel booking engine. People can go to a hotel's direct website to book or use things like Expedia to reserve a room, OR they can use our engine to book. Our Ripe software allows us to give free gifts/incentives to people who book hotels in Rancho Cordova. For example, if someone uses our website to book a stay of 2 nights or more, they can choose from a list of giftcards such as Lyft, Starbucks, and local businesses.
Sharepoint: An office-wide SHARED storage system/media library, as opposed to OneDrive (personal files). You can find SOPs, event summaries, professional photos, staff documents, and more. Put permanent, finalized, or shared files here.
SnapSea: This is our UGC (User Generated Content) collection software, the place we gather images and videos we find on social media that would be great content for our marketing. We can also use this software to make image galleries of the photos and videos we collect, and then embed them on our website pages. Hundreds of images have been saved to our galleries already.
Teams: We use Teams to initiate group chats, hold video meetings, and save files (Teams is linked with Sharepoint).
Threshold: Threshold is a site where virtual tours of popular establishments are hosted. We pay for a certain number of hotels, businesses, and organizations to set up appointments with a 360 camera operator. Then the finalized "tour" of the building or place is uploaded to Threshold. Our partners can find their organization's tour, copy the embed code, and link it to their own website.
Voyage/Domo: Monthly leisure SEM ad report from our vendor, Madden. Madden is a marketing agency that runs special ads for us, keeps track of detailed analytics, etc.
Wrike: The Marketing Team's task management software. This is where all of Marketing's projects and tasks live. The Sales team has access to a few forms in Wrike to request Marketing help, which are turned into tasks and assigned as needed. At present, the Sales team does not have access to Wrike.
