Position Description

At Visit Rancho Cordova, we work hard to build trusted relationships with event planners all over the country who bring their amazing meetings, retreats, conferences, and tournaments to Rancho Cordova. This entry-level role plays a critical part in driving business opportunities by maintaining accurate data systems, assisting with lead solicitations and proposals, preparing reports, and supporting partner engagement.

Because this position serves as a key point of contact for planners, partners, and internal stakeholders, strong communications skills and a customer service mindset are of the utmost importance. The ideal candidate will bring professionalism, warmth, and clarity to every interaction while maintaining accuracy in technical and administrative skills.

This position is on-site and requires a consistent presence in the office to support team collaboration, collateral management, and partner coordination. Ideal candidates are organized, analytical, and passionate about promoting travel and tourism.

Key Responsibilities

Sales and Lead Support

• Assist with the intake, tracking, and fulfillment of sales leads and service requests
• Maintain and update CRM (Simpleview) with lead, contact, and partner information
• Generate proposals, presentations, and meeting materials using templates and graphic assets in Canva and other supporting systems
• Conduct preliminary market research to identify prospective clients and opportunities

Collateral, Inventory and Logistics

• Manage ordering, inventory tracking, and distribution of department collateral
• Ensure trade show and event materials (booths, displays, giveaways) are properly stocked, organized, and ready for shipment of use
• Coordinate packing, shipping, and receiving of collateral for tradeshows, sales calls or partner events

Data and Reporting

• Compile and analyze sales activity reports and performance metrics
• Support the development of economic impact reports, partner updates, newsletters, and board reporting
• Help ensure data accuracy and integrity across multiple platforms

Administrative and Partner Coordination

• Assist in coordinating meetings, sales events, tradeshows, expositions, and client site visits
• Support team scheduling, meeting logistics, and expense reporting
• Provide basic technical assistance to partners engaging with listings, event calendars, and extranet portal
• Respond to partner or planner inquiries with timely and professional communication

Qualifications Required

• Associate’s or Bachelor’s degree in business, marketing, tourism, hospitality, communications, or related field
• Strong proficiency in Microsoft Office Suite (especially Outlook, Word, Excel, and Teams)
• Experience with CRM or data entry tools (Simpleview, Salesforce, HubSpot, or similar)
• Exceptional written and verbal communication skills with a demonstrated commitment to customer service
• Demonstrated organizational, time management, and communication skills
• Ability to manage multiple projects with accuracy and attention to detail
• Current California State driver's license

Nice to Have

• Familiarity with destination marketing or tourism-related work
• Experience using project management platforms
• Graphic design or presentation software skills (e.g., Canva)

Physical Requirements

• Ability to lift and transport over 50 pounds of collateral, trade show materials, and event supplies as needed
• Occasional evening, weekend, or overnight travel may be required to support events and tradeshows

Salary $45,000-$55,000
