• Please book flights to Sacramento International Airport (SMF) by Friday, May 15, 2026
• Visit Rancho Cordova will only reimburse for economy flights
• Any upgrades, add-ons, luggage, parking, transfers, and purchases in addition will not be reimbursed
• Meeting planners are responsible for transit to/from the airport of origin at the start and end of the event
• Once we receive your flight confirmation, Visit Rancho Cordova will arrange your airport transfer in a separate confirmation
• If your stay is longer than the nights of Friday, June 12, 2026, and Saturday, June 13, 2026, with the exception of stay extensions necessary due to flight availability (must be approved by Visit Rancho Cordova in writing), you are responsible for your additional room night charges and incidentals. The group rate is based on availability 3 days pre/post event

BY LAND

• Visit Rancho Cordova will only reimburse for economy vehicle rentals
• Any upgrades, add-ons, parking, transfers, and purchases in addition will not be reimbursed
• Visit Rancho Cordova will reimburse for fuel with itemized receipts
• If your stay is longer than the nights of Friday, June 12, 2026, and Saturday, June 13, 2026, you are responsible for your additional room night charges and incidentals. The group rate is based on availability 3 days pre/post event

TIMING

• Our full itinerary is on the way! Please plan to be outside for the better part of Saturday and wear comfortable shoes for moving.
• Please plan to arrive at the Hampton Inn Rancho Cordova by 12 PM on Friday, June 12, 2026
• Please plan for departure from the hotel no earlier than 1PM on Sunday, June 14, 2026 after the focus group has concluded
• Airport transfers take ~30 minutes to SMF depending on traffic

• This event is free to attend, but closed to the general public
• All attendees will be required to sign and submit waivers for Visit Rancho Cordova and potentially venue activities
• Registration closes, Friday, May 15, 2026
• You are welcome to have a travel companion who can stay in your room and join you before/after the FAM Trip & Focus Group festivities. We will not be compensating for secondary flights or any additional meals, transportation, or miscellaneous costs for this person

• To qualify for reimbursement, you must participate in the FAM Trip and Focus Group in its entirety.
• Reimbursements will be distributed at the close of the event on June 14, 2026, pending Visit Rancho Cordova has received itemized copies of your receipts by EOD on Wednesday, June 10, 2026. Otherwise, checks will be mailed to your address on file the next business day.
• All itemized receipts must be submitted to Visit Rancho Cordova by no later than Monday, June 29, 2026 for reimbursement.
